This notice explains how GreenPearl collects, uses, and discloses personal information when you use greenpearl.com and the GreenPearl Events Platform, collectively referred to as the “Platform.”

Information we collect
Depending on how you interact with the Platform, we may collect:
- Account and profile information — such as your name, email address, organization, job title, biography, photograph, contact information, and profile preferences.
- Event and registration information — such as the events you register for, your participation or attendance role, registration-form responses, purchases, payment status, and related transaction information.
- Communications — including messages sent through the Platform, support requests, and other correspondence with GreenPearl.
- Technical and usage information — such as your IP address, browser and device information, sign-in activity, security records, server logs, and information about how the Platform is used.
- Information from other sources — such as event registration services, payment processors, your organization, or another person who registers you for an event.
Payment card information is generally collected directly by a payment provider rather than stored by GreenPearl. We may receive payment status, transaction identifiers, limited billing information, and other information needed to administer your registration.
How we use information
We use personal information to:
- Create and manage accounts.
- Authenticate users and maintain signed-in sessions.
- Process event registrations and payments.
- Provide attendee directories, messaging, and other event-related features.
- Send registration confirmations, account notices, event updates, and other service-related communications.
- Send information about GreenPearl events, programs, and opportunities, subject to your communication preferences and applicable law.
- Respond to support requests and troubleshoot technical problems.
- Maintain the security and reliability of the Platform.
- Investigate suspected fraud, misuse, or violations of our policies.
- Maintain business, transaction, and compliance records.
- Improve our services and understand how the Platform is used.
- Comply with legal obligations and protect our rights and the rights of others
Where European or UK data-protection law applies, our legal bases may include performing a contract or providing services you request, complying with legal obligations, pursuing legitimate interests such as operating and securing the Platform, and obtaining consent where consent is required
Attendee directories and messaging
Depending on the event and your settings, information such as your name, job title, organization, photograph, biography, contact information, or other selected profile information may be visible to other authorized event participants.
Information you send through Platform messaging features is shared with the intended recipient or recipients.
You should not include confidential, sensitive, or unnecessary personal information in your public profile or in messages to other participants.
Online tracking and browser signals
GreenPearl does not use the Platform to track users across unaffiliated websites for behavioral advertising.
Because our practices do not currently change in response to a browser’s “Do Not Track” signal, the Platform does not respond differently when such a signal is received.
How we disclose information
We may disclose personal information to the following categories of recipients:
- Service providers that support hosting, authentication, data storage, payment processing, email delivery, registration, mapping, security, support, and other Platform operations.
- Other authorized event participants through attendee directories, messaging, and related networking features.
- Third-party registration or checkout providers when you use a registration form, checkout page, or other service operated by that provider.
- Event sponsors and partners: We may provide certain attendee information to sponsors and business partners in connection with an event, including information such as name, job title, company, phone number, and mailing address. We may provide attendee email addresses to a limited subset of firms that maintain broader strategic, content, or other partnership relationships with GreenPearl.
- Professional advisers and authorities, such as attorneys, accountants, insurers, regulators, courts, and law-enforcement agencies, when reasonably necessary to comply with law, protect rights or safety, investigate wrongdoing, or address a legal claim.
- A purchaser, successor, or transaction participant in connection with a merger, acquisition, financing, reorganization, or sale of some or all of GreenPearl’s business or assets.
We may also disclose information when you request or authorize us to do so.
GreenPearl does not sell personal information for monetary payment or share personal information for cross-context behavioral advertising. We may disclose attendee information to event sponsors and partners as described above.
Marketing communications
We may use your contact information to send information about GreenPearl events, programs, registration opportunities, speaking opportunities, sponsorship opportunities, and related services.
You may unsubscribe from promotional email by using the unsubscribe link included in the message.
Even after you unsubscribe from promotional email, we may continue to send service-related communications that are necessary to administer your account, registration, transaction, or participation in an event.
How long we retain information
We retain personal information for as long as reasonably necessary for the purposes described in this notice.
The applicable retention period depends on factors including:
- Whether your account remains active.
- The date of the relevant event, registration, or transaction.
- Whether information is needed to provide requested services.
- Applicable accounting, tax, contractual, and legal requirements.
- Security, fraud-prevention, and audit needs.
- Whether information is needed to resolve a dispute or enforce an agreement.
Account and profile information may be retained while your account remains active and for a reasonable period afterward.
Registration, transaction, payment, cancellation, attendance, and other business records may be retained for legal, accounting, operational, and compliance purposes after an event or account has ended.
Security logs, support records, and administrative records may be retained for a reasonable period based on their purpose and the nature of the issue involved.
We may retain limited information necessary to record and honor an unsubscribe, deletion request, or other privacy preference.
Your choices and privacy rights
You may review or update certain account and profile information through the Platform.
You may also contact us to request access to, correction of, deletion of, or a copy of personal information associated with you. Certain information may need to be retained for legitimate business or legal purposes, including completed registration, transaction, security, accounting, and compliance records.
Additional privacy rights may be available depending on where you live and the laws that apply. These may include rights to:
- Access your personal information.
- Correct inaccurate information.
- Request deletion of certain information.
- Receive a portable copy of certain information.
- Object to or restrict certain processing.
- Withdraw consent when processing is based on consent.
- Complain to an applicable data-protection authority.

We may take reasonable steps to verify your identity and authority before completing a request.
Security
We use administrative, technical, and organizational safeguards designed to protect personal information, including encrypted connections, access controls, authentication measures, and service-provider security features.
No method of electronic transmission or storage is completely secure. We therefore cannot guarantee absolute security.
Children
The Platform is intended for professionals participating in business events and is not directed to children (persons under 18).
We do not knowingly collect personal information from children (persons under 18) through the Platform. If you believe that a child has provided personal information to us, please contact us so that we can review and, where appropriate, delete it.
International processing
GreenPearl is based in the United States.
If you access the Platform from outside the United States, your personal information may be processed in the United States and in other countries where GreenPearl or its service providers operate.
Where required by applicable law, we use legally recognized contractual or other safeguards for international transfers. You may contact us for additional information about safeguards applicable to your information.
Third-party services and links
The Platform may contain links to, or features provided by, third-party websites and services.
When you interact directly with a third-party registration form, payment page, map, embedded service, or external website, that organization may collect information under its own privacy notice. GreenPearl is not responsible for the independent privacy practices of third parties.
Changes to this notice
We may update this notice periodically to reflect changes to the Platform, our practices, or applicable requirements.
The “Last updated” date at the top indicates when this notice was most recently revised. If a change materially affects how we use personal information, we may provide additional notice through the Platform, by email, or by another appropriate method.
